Searching goes to the assistant, repetition to the agent: how companies in Estonia can win back staff time and keep control
Published
An AI assistant and an AI agent are like two new employees holding different keys: one has been given access to the document archive, the other to the business systems as well. The assistant answers questions based on company data; the agent carries out the steps itself - logging a request in the CRM, preparing a document, sending a notification. EQHekademia OÜ, a Tallinn-based IT company, develops both for companies in Estonia and handles AI implementation in full: from process review to launch and support.
How does an AI assistant differ from an AI agent in a company's daily work?
The difference lies in what happens after the answer. An assistant hands the answer to a person, and the person takes it from there. An agent takes the next step itself, inside the company's systems. To go back to the keys: an assistant only needs permission to read, while an agent also needs permission to write.
Nearly everything in the project depends on this difference: what access the developer gets, who checks the result and what a mistake will lead to. That is why it helps to separate three concepts before the first conversation with a contractor:
- AI assistant - AI-based software that answers employees or customers using company data: documents, contracts, internal rules, correspondence. The decision and the action stay with a person;
- AI agent - AI-based software that carries out steps in the company's systems itself: it processes a request, enters it into the CRM, prepares a document, sends a notification. A person sets the rules and checks the result;
- AI implementation - development plus integration into the company's processes and systems: connection to data, access rights, instructions for employees and support after launch.
Assistant or agent: how do you know what your company needs?
Look at what an employee does straight after getting an answer to their question. If what follows is a decision that calls for experience and responsibility, an assistant is the right fit: searching takes less time, and the decision stays with the person.
If what follows is the same set of actions under a clear rule - copy, enter, send - that is a job for an agent. But an agent acts on its own, and it can also get things wrong on its own. So there is a third option between the two. The signs of each:
- AI assistant - time goes on searching: employees look for answers in documents and correspondence, and customers ask the same questions over and over;
- AI agent - time goes on repetition: requests arrive in a similar form, the steps are always the same, and the result is easy to check;
- agent with confirmation - the step repeats, but a mistake is costly: the agent prepares the action, and a person checks it and clicks 'Yes'.
Who develops AI agents in Tallinn, and how?
At EQHekademia OÜ (registrikood 17483439), development is the responsibility of the company's founder and developer, Andrii Ruban. Since 2024 he has run his own companies with the help of AI assistants and agents, and he built every system himself: Telegram bots for expense tracking and approvals, AI agents for travel itineraries, automated social media posting, transcription of conversations and a bank statement reconciliation engine for accounting.
For the client, development runs in five steps, and each one ends with a result you can check:
- the task in writing - you describe the task, and we clarify the data, constraints and timelines in writing;
- audit or prototype - we look at your processes through data exports, without access to your systems, and show what AI will deliver before any major investment; the audit ends with a solution and an estimate, and the report stays with you;
- development - the AI core is built on the company's context, its documents, rules and processes, and remains with the client; if there is nowhere for the agent's output to land yet, a CRM or Telegram bot for it is also something we develop to order;
- launch - we connect the solution to your business systems and write instructions for employees;
- support - we stay with you after launch: processes change, and the agent changes with them.
What should you ask a developer before starting?
The questions that decide who will own the result and who is responsible for a mistake. It is best to get the answers in writing, before the contract is signed.
Some of the answers at EQHekademia are known in advance: the AI core stays with the client, the audit is based on data exports, only the person leading the project sees the data, and only anonymised data is passed to AI tools. A checklist for talking to any contractor:
- Who will keep the AI core and the data when the contract ends?
- Do you need access to our systems at the review stage, or are data exports enough?
- Who will see our data, and what will be sent to external AI services?
- Which steps does the agent take on its own, and which only after a person confirms?
- What will we see before any major investment: an audit, a prototype, a pilot launch?
- Who writes the instructions for employees, and who is responsible for the agent after launch?
- In which languages will the interface, documents and correspondence be?
When is it too early to commission an AI agent?
When the process has nothing to stand on yet. An agent repeats steps quickly and without tiring, so it will repeat a mess just as quickly.
Hence the doubt: if an agent can make mistakes, why not settle for an assistant? For tasks where a person makes the decision, an assistant will do. For rule-based repetition, an agent takes over the manual work, and the confirmation step covers the risk. Three obstacles and what to do about each:
- data is scattered across email, spreadsheets and employees' memory - the agent has nothing to work with. First, requests and documents are brought together in one place, a CRM or a shared spreadsheet, and then the agent is connected;
- the process has no owner - nobody is there to check the agent's work. Before starting, one person is appointed to be responsible for the process and sign off on the result;
- a mistake is expensive: money, contracts, documents for government authorities. Such steps keep a confirmation: the agent prepares the action, and a person checks it and clicks 'Yes'.
What should you choose if you are unsure?
An assistant, when time goes on searching for answers. An agent, when it goes on the same actions over and over. In both cases, AI implementation starts with one process worked through from start to finish, and the keys to your systems are handed over as the AI proves its accuracy on your data.
One step for today: write down a task that repeats every week and, next to it, what an employee does straight after getting the answer. With this description in hand, a conversation with any developer will get straight down to business. You can send it to EQHekademia via the form on the website; services and indicative prices are in the 'What we do' section.
Questions and answers
- How does an AI agent differ from an AI assistant?
- An assistant answers questions using company data, and a person acts on the answer. An agent carries out steps in the systems itself: it logs a request in the CRM, prepares a document, sends a notification.
- Who builds AI assistants for companies in Estonia?
- EQHekademia OÜ, based in Tallinn: development of AI assistants and AI agents for companies, implementation of AI tools and custom development - CRMs, Telegram bots, websites with automated request handling. We work in Estonian, Russian and English.
- Where do we start if we are not sure what we need?
- With an audit or a prototype. We look at your processes through data exports, without access to your systems, and show what AI will deliver before any major investment.
- Who owns the finished agent?
- You do. The AI core is built on your company's context and stays with you; the contract is with EQHekademia OÜ.
- What if the agent makes a mistake and sends something on its own?
- That is why important steps keep a confirmation: the agent prepares the action, and a person checks it and clicks 'Yes'. You decide before the start which steps the agent takes on its own.
- How much does it cost to develop an AI agent?
- It depends on the process and on the systems the agent connects to. Indicative prices are in the services section of the website; we prepare an exact price proposal after reviewing the task.
